Privacy notice.
1. Who we are
This privacy notice describes how Clean Contracts UK Limited (Company No. 14761725, trading as Cleritas) handles personal data collected via cleritas.co.uk. We are the data controller for that information for the purposes of UK GDPR and the Data Protection Act 2018.
2. What we collect
We only collect personal data that you actively give us. That means:
- Name, email, role, and clinic name submitted through the contact form.
- Email address submitted through the early-access launch form on the coming-soon page.
- Free-text content you choose to include in those forms.
We do not set tracking cookies on this site. We do not run analytics on this site by default. If analytics are added in future, this notice will be updated and a cookie banner shown before any non-essential cookies are set.
3. Why we use it
Your data is used solely to respond to the enquiry or notification request you have submitted. For example, the email you give in the early-access form is used only to send you a one-off notification when the relevant template goes live.
4. Lawful basis
Our lawful basis under UK GDPR Article 6 is consent — you choose to send us the message — and, for the contact form, legitimate interest in responding to business enquiries.
5. How long we keep it
Contact enquiries are retained for as long as needed to manage the enquiry and any resulting commercial relationship, and for legitimate record-keeping thereafter. Early-access addresses are deleted once the launch notification has been sent, unless you have separately opted in to ongoing communication.
6. Who we share it with
Form submissions are routed through Formspree (formspree.io), which acts as a processor on our behalf. Where we use other processors (for example, an email provider), we choose providers offering UK GDPR-compatible terms. We do not sell or share your data with third parties for marketing.
7. Where it is stored
Some of our processors store data outside the UK / EEA. Where this happens, we rely on appropriate safeguards such as the UK International Data Transfer Addendum or equivalent standard contractual clauses.
8. Your rights
You have the right to access the personal data we hold about you, to correct it, to request its erasure, and to withdraw consent at any time. You also have the right to lodge a complaint with the Information Commissioner's Office (ico.org.uk).
To exercise any of these rights, email hello@cleritas.co.uk.
9. Patient data
Patient data captured by clinics using Cleritas templates is the clinic's clinical record and the clinic's responsibility under UK GDPR. Cleritas has no access to data entered into our templates by a clinician's patients.
10. Updates
This notice may be updated to reflect changes in how the site works. The "last updated" date at the top of this page will change accordingly.
